Make New Sale - Item Details

When making a sale you may want to see additional information on the item such as the available stock. In this article, we will discuss how to.

To view the item details you must first navigate to Main Menu > Make New Sale > Here you can select either In Stock or Full Catalog depending on the sale. From here you will need to search for the item you wish to sell once you choose it you will be taken to the screen below. 

 

Here you will need to click on the link under the item number to view the details of the item these will include 

At the top of the Item Details page, you will see the Manufacturer's name. Directly below the Manufacturer name is the Item Number and Item Description. 

 

 

Next is a table listing the Current Store Inventory. These are inventory levels for all the different locations at your company. 

 

  • Finish: For each unique Finish, there will be a unique line on the item table. Inventory will be broken out by the different Finish and Fabric combinations for the items. 
  • Fabric: For each unique Fabric, there will be a unique line on the item table. Inventory will be broken out by the different Finish and Fabric combinations for the items. 
  • Code: This is the cost code for the item. Cost codes are letters assigned to digits 0-9 to hide the true cost of the item from customers, but still provide information to the sales team. The cost codes can be set up and controlled on System Settings - Page 2
  • Qty In Stock + DAM: This is the total number of items in stock at all locations, plus all damaged items. 
  • Qty Reserved: This is the total number of items that have been reserved for a customer after a sale made for that customer. 
  • Qty Locked: These are the total number of items at locked locations. Locked locations are locations that cannot move items from their inventory for sales, which is useful for situations like showrooms where you do not want to sell items. To lock or unlock a location, edit the location detail in Part III of System Settings - Page 1. To move an item to or from a locked location, create a Transfer memo. 
  • Qty Damaged: This is the total number of damaged items at your company. Damaged items are specially reserved to not be sold until they are repaired.
  • Qty Available: This is the total number of items available for sale at all locations. 
  • Qty On Order: This is the total number of items that are on printed Purchase Orders. This count does not include items for PO, as those items have not been added to POs yet. 
  • Available at Ashley: If you are looking at an Ashley item, you can see the amount of items at your local distribution center. If this shows as zero, but you can see inventory in your distribution center website portal, contact support to troubleshoot. 

 

 

Below the inventory table, you will see the details of the other items. This includes the item picture, if there is one, and details such as the description, dimensions, and weight. All these details are controlled in the Add/Edit group page in System Settings.
