Search Customer - Manage Sale

To manage a sale that has been made in the software please follow the items listed below

Once you have entered the search parameters on the Search Customer page you will be given a list of options. To view the details of the customer such as sales you will need to click on "View" on the right side of the screen. 

Once you have selected "View" you will be directed to the customer's profile. This page will have all of the information you have acquired from the customer as well as fields for their SSN, Driver's Licence, Address, etc. To manage the sales for the customer you will need to select the option "View all Sales" at the top of the screen. 

Once selected you will be presented with all of the sales as well as quotes that the customer has had. From this screen, you will need to click "Select" next to the sale that you wish to manage. 

 

Once selected you will now be able to manage the sale, as seen in the screenshot below. 

At the top of the page, you will see the Sale Number you have selected, a drop-down to select a new sale to work on for the customer, as well as the status of the sale. 

 

Each of these items has a specific purpose which will be explained below: 

  • Payment Status: Indicates the balance of the sale, which will be displayed as one of the options below: 
    • Balance: indicates that money is still owed for this sale. If the customer owes a balance toward the the amount will be shown as displayed in the image above. However, if the sale has a negative balance meaning that you owe the customer a balance the amount will be displayed in parenthesis ex: Balance: (15.00)
    •  All Funds Accounted For: means the money has been financed, either through COD, InHouse Financing, or 3rd party financing
    • Paid Off: means the sale has been fully paid off and no money is owed to you or by you for the sale. 
  • Delivery Status: This will show a count of how many items were sold vs how many have been delivered. If all items have not been delivered the stats will remain as Undelivered ex: Undelivered 5/10. To see more information about what items have been sold, reserved, or delivered, click the blue numbers to open a second window showing the individual item statuses. 
  • Memo Status: This gives you a quick overview of what step the sale is waiting on next. For example, if all items have been reserved, the next step is to generate a Delivery memo, so the item will say "Delivery memo needs to be generated". 

View Sale Note: This is a quick link to view all Notes for the sale and add any further notes as well. 

The options below are where you will be able to make changes and manage the sale: 

 

Payment/Refund: 

This button allows you to view the payment history for the sale, take payment, or give refunds. For more information, see Manage Sale - Payment/Refund

Edit Delivery/Pick Up Date: 

This option will allow you to select a new Delivery or Pick Up Date or assign one if it was not selected during the sale process. Once selected you will be redirected to a new page as seen below. 

Edit Sale: 

Here, you can edit the sale - changing the items on the sale, changing prices, or other options for the sale.  Please see our article Editing a Sale for more information. 

 

Void/Cancel Sale: 

This will allow you to void the sale. This option will not be available if the sale has been Delivered. However, if an option is available some factors may not let you Void the sale for example: A negative balance on the sale, or partial delivery of the items. 

Void Delivery Memos: 

If you want to cancel a delivery, you can use this link to void the Delivery, Pickup, or Backorder memo for the sale. 

 

Reprint

This link will allow you to reprint the receipts and memos associated with the sale. 

Bring back/Exchange:

If the customer would like to bring back or Exchange items this is where you will go. This link will take you to the Print Bring Back Memo page. You can read more about the return or exchange process in the article How to Create a Bring Back Memo.

View Store Credit:

You will be able to view store credits as well as add additional. 

Special Service

Here you can create or edit a Special Service Memo, such as a repair memo. (Note: Special Service Memos are not associated with a specific sale, but rather with the customer as a whole. )

Memo History: 

This allows you to view all memos created for this specific sale, including Delivery, Pickup, Back Order, and Transfer memos. 

Edit Instructions 

This will take you to a page where you can edit the instructions for the delivery driver. These instructions will show on the sales receipt, picklist, and delivery/back order memos. 

Restocking: 

This will take you to the Payment/Refund screen, where you can select the third option to "Apply Restocking Fee". 

Manage Auto Draft: 

Here, you can set up an Auto-Draft account through Vantiv. If the account for the customer is already created, you can also View, Update, Cancel, or check History for the Auto Draft account.
