The Vendor Return & Credit Request is designed to make it easy to return an item to a vendor and also request credit if the item has been marked as damaged or if a return is necessary for other reasons.
To Create a Vendor Return and/or Credit Request:
- Navigate to the Main Menu > Ordering > Inventory > Damaged Inventory Reports
- This will bring you to the screen below where you will need to select the Location and Manufacturer of the item
- Once you have selected the Location of the item(s) and the Manufacturer you will be presented with a list of all damaged items from that manufacturer at the selected Location
- You will have two options on this screen, you can choose to Return to Vendor or Request Credit (both can be done at the same time).
- Once you have selected Return to Vendor or Request Credit you will then have to select the Vendor that you which to Return and/or Request Credit from. From the Return All Selected Items to drop down at the bottom of the screen.
- If you are done selecting items and options click Submit at the bottom of the screen and you will be directed to the Vendor Return & Credit Request Memo window seen below.
- You will need to complete two steps on this screen. The first is the Address which will be the location where the items are being returned, and the second is a Contact for the return and/or credit request
- Upon completion, click Print and the Vendor Return Memo # will now be displayed.
- In addition to the item information, you will see a Sale # or PO # if the item is related to one of those.
- The next part of the process will be to confirm the Return Memo and Credit Request.
Confirming the Return Memo:
- Navigate to Main Menu > Shipping > Confirm Memo > Return to Vendor Memo
- This will take you to the screen shown below where you can search for the memo using one of five options
- After entering in your search criteria and clicking Submit. You will be taken to the following screen if a Vendor Return Memo is found.
- If the memo that you are looking for is displayed simply click on Confirm
- If everything is correct on this screen simply click the Save button to complete this vendor return.
- You will then see a screen with the message โVendor Return Memo VR xx was confirmed
Viewing and completing a Credit Request:
- Navigate to Main Menu > Management > Reports > Financial Reports > Accounts Payable Report > Payable Credit Request
- This will take you to the screen below
- From here you will have four options
- View requests generated for a specific vendor between a specified date range
- View all unauthorized credits
- Add a manual credit
- View all credit not applied to an invoice
- For our purposes, we will be selecting option A.
- Once you have found the credit from the vendor that you wish to work on, click on Authorize if you wish to cancel the request click on CXL Credit Request.
- Once you click on Authorize you will be taken to the screen below
- On this screen, you will need to enter the following
- The amount credited that needs to be authorized
- The authorization number from the vendor
- The authorization date
- Who Approved the authorization
- Once you have entered the information above simply click Submit
By following the steps under Viewing and completing a Credit Request. You will not only be able to see the credit requests for damaged or returned items as mentioned in this article but all credit requests pending in the system based on the option selected in step four.
Viewing the authorization after submitting
- Navigate to Main Menu > Reports > Financial Reports > Account Payable Reports > Payable Credit Request
- This will take you back to screen shown below
- Select the Vendor and the Date Range you wish to search by and click submit
- If the Credit Request was completed successfully by following the steps in the Viewing and completing a Credit Request section you will now see the Authorize Number, Authorized Amount, Authorized Date, and Approved By fields filled out as seen below
