Understanding the terminology used in the EZ Process Pro Shipping Module is essential for managing deliveries, pickups, returns, and logistics workflows effectively. Below is a list of common phrases you may encounter, along with definitions to help you operate the system with confidence.


Pick List

Description:

  • The Pick List is a printable checklist of items that need to be gathered from the warehouse in preparation for delivery or pickup. It helps warehouse staff efficiently organize and pull products for each scheduled run.

Call List

Description:

  • The Call List displays all deliveries scheduled for the next day and is designed to help your team proactively contact customers to confirm their upcoming delivery. This confirmation step reduces failed delivery attempts, ensures customer availability, and improves overall logistics efficiency. Each call can be logged in the system to track contact status.


Print Memo

Description:

  • Printing a memo generates the official documents for a scheduled delivery, pickup, return, or service. This memo includes the customerโ€™s information, item details, and signature area. Once printed, the memo is locked in and ready for execution, signaling to your team that the transaction is scheduled and paperwork is prepared.

Confirm Memo

Description:

  • Confirming a memo finalizes the transaction in the system. This step should be completed after the delivery, pickup, or other service has occurred. Once confirmed, the system deducts the delivered items from inventory and updates the order status for accurate reporting and tracking.

Delivery Memo

Description:

  • The Delivery Memo is a document that details all items being delivered to a customer. It includes customer information, scheduled date, and a signature area to confirm successful delivery. Delivery Memos must be printed and confirmed in the system after completion.

Pick Up Memo

Description:

  • A Pickup Memo outlines the items being retrieved from a customerโ€™s home, whether for return, repair, or exchange. Like Delivery Memos, these must be confirmed after the scheduled pickup is completed.


Back Order Memo

Description:

  • Used when a delivery is partially completed and remaining items need to be sent at a later date. This memo helps schedule a return visit to deliver missed or delayed products.

Bring Back Memo

Description:

  • A Bring Back Memo is used when items are returned from the customerโ€™s home to the warehouse. This may happen if an item is refused, returned, or requires further action such as inspection or repackaging.

Repair/Service Memo

Description:

  • This memo is used when an item is being picked up for repair or when a technician is being dispatched to a customerโ€™s home for service. It provides job details, scheduling info, and documentation for follow-up.

Transfer Memo

Description:

  • Transfer Memos track the movement of items between store locations or warehouses. They ensure that inventory is accurately updated across locations and that logistical movements are documented.


Return to Vendor Memo (RTV)

Description:

  • Used when items are being sent back to a vendor, usually due to damage, defect, or overstock. RTV memos allow you to track what was returned, why it was returned, and when it was sent.

Operations Calendar

Description:

  • A merged calendar view that displays all upcoming deliveries, pickups, services, and transfers across your business. This tool helps dispatchers and managers coordinate resources, avoid conflicts, and optimize routes.
