Sales - Make New Sale

In EZ Process Pro, a sale is defined as "an end consumer, consultant representing the end consumer, or other third party purchasing physical furniture, warranties, or services like delivery services from a store". This excludes other transactions like the store purchasing inventory from a vendor, which is handled instead of the Ordering process. 

 

The software streamlines the sale process by giving you multiple different options when you want to make a sale.

 

You can access these by navigating to Main Menu >  Sales > Make New Sale, from here you will have four different options to choose from: In Stock, Full Catalog, Quick Sale, and Quick Cash Register.


 

 

All the different sale types will show items in your catalogs of everything you have and everything you can get, which can be reviewed at any point in time in Add/Edit Groups.

There may be some limitations as to what will show up depending on what type of sale you are making, as described further below. Once an item is discontinued; it will not show up in the catalogs anymore, unless you have it in stock. Once you sell out of your stock it is removed from the catalogues.

 

Below, each type of sale is described so that you can see how the use cases for each of them. In Stock and Full Catalog are used most regularly, but you may want to review all seven types to see if there is anything else you want to make use of in your business. 

 

 

In Stock

In Stock shows only items that are currently in your inventory AND at the location you are currently signed into. 

  • How can I search for items in this sale? You can search by manufacturer, category, item number, item alternative description, item description, or group description. 
  • Will the item be immediately taken from inventory, or will it go through the reservation process? Items sold will immediately be reserved as it is in stock and available for purchase.  
  • Does this show pictures of the product if pictures are available? Yes, images are shown if available. 
  • Will this sale be recorded on the customer account? Yes, during the sales process, you will be asked to fill out the customer's information. 
  • What do I need to do after this sale is made? You will need to walk through the delivery or pickup process depending on what was chosen during the sale. Until then, the item will only be reserved in inventory, and not shown as delivered to the customer. The inventory count will not change until the delivery or pickup is made.  
  • Recommended use case: This is best used when the customer only wants to purchase items that can be picked up or delivered immediately. 

 

 

Full Catalog

Full Catalog shows all items that you sell, including those currently in inventory, locked items, and items that you do not have in inventory but can order from a vendor.

  • How can I search for items in this sale? You can search by manufacturer, category, item number, item alternative description, item description, or group description. 
  • Will the item be immediately taken from inventory, or will it go through the reservation process? If an item is in stock, it will be reserved. If it is not in stock, it will be added to Items for PO.  
  • Does this show pictures of the product if pictures are available? Yes, images are shown if available. 
  • Will this sale be recorded on the customer account? Yes, during the sales process you will be asked to fill out the customer's information. 
  • What do I need to do after this sale is made? If the item/s were in stock they are now reserved. If the item/s were added to Items for PO, you will need to generate a Purchase Order to order the items, then check the items into inventory when they arrive. When the items are checked into inventory they will then be reserved for the sale.
  • When all items are reserved from inventory, you will need to walk through the delivery or pickup process depending on what was chosen during the sale. Until then, the item will only be reserved in inventory, and not shown as delivered to the customer. The inventory count will not change until the delivery or pickup is made.  
  • Recommended use case: This is a good default way to make a sale, as all items can be added to a sale from here, customer information will be collected, 

 

 

Quick Sale

This is a quick-search feature that links to the Full Catalog sale.

  • How can I search for items in this sale? You can search by scanning the item's barcode, manually searching for the item number, or manually searching for the group name. 
  • Will the item be immediately taken from inventory, or will it go through the reservation process? Same as Full Catalog sale.  
  • Does this show pictures of the product if pictures are available? You will not see images when browsing for an item or group, but when you select the item or group you will see the group and item pictures. 
  • Will this sale be recorded on the customer account? Same as Full Catalog sale. 
  • What do I need to do after this sale is made? Same as Full Catalog sale.  
  • Recommended use case: If you have a situation where you would typically use Full Catalog but would rather scan an item's barcode than type it in, this will allow you to find the item faster. 

 

Quick Cash Register

 

Quick Cash Register sales only sell from items that are currently in your inventory AND in an unlocked location. Once sold, the items are immediately taken out of inventory. 

  • How can I search for items in this sale? You can search by scanning the item's barcode or manually searching for the item through the Manufacturer. 
  • Will the item be immediately taken from inventory, or will it go through the reservation process? The item/s will be immediately taken out of inventory. No reservation process will happen.  
  • Does this show pictures of the product if pictures are available? You will not see images. 
  • Will this sale be recorded on the customer account? It is optional to allow customer information to be captured during this sale. You can control this on System Settings - Page 2.
  • What do I need to do after this sale is made? No further action is necessary.   
  • Recommended use case: Quick Cash Register sales are designed for selling small, easy-to-grab items that a customer won't need to be delivered and might not want to leave personal information for, such as sheets, pillows, small dรฉcor items, or other merchandise like sodas or snacks.
