EZ Process Pro does not advise the use of Cash Drawers. However, if you prefer to use a Cash Drawer below are the preferred methods for utilizing them with EZ Process Pro.
If you would like to utilize a cash drawer as part of your business there are a few best practices that will help.
Start the by placing "petty cash" in the Cash Drawer. In many cases this is referred to as the Till Count.- You will need to count the cash and keep record of this externally.
- You will name the account "Petty Cash". Once created you will need to add a deposit equal to the amount in the Cash Drawer.
- If you utilize the money in marked as Petty Cash for non Sale related item ex. Lunch, Cleaning Service, etc. You will need to a debit to the ledger and expense it to the proper account for which the money was used.
- This will make it easily trackable as you add or subtract from the Petty Cash each day.
Now that the money is able to be tracked in the EZ Process Pro system you can use the reporting to track all money.
- To access the report you will need to Navigate to Main Menu > Reports > Supervisor Reports > Track All Money Receipts
When you pull the report , pay close attention to date, location and time. If you have one person in charge of the cash drawer for half a day, and another person for the other half. You will want to pull the report for the end time of the first person when you go to count their till and compare it to the transactions the system has on record.
3. When using the Cash Drawer you are interested in the sums at the bottom of the report. The total credit card will equal your credit card batch at the end of the day and therefore what you should see deposited to your bank account.
4. The TOTAL DEPOSIT should equal the money that you are counting in your till (the money in the cash drawer) minus the petty cash you initially put in.
5. Another way to look at it is , the cash drawer money should equal the TOTAL DEPOSIT field plus the total petty cash from the start of the day.
