Formatting Spreadsheets for Product Data Upload

Follow specific column rules for sorting, item descriptions, barcodes, and categories to format manufacturer pricelists for easy upload into the system. Use the provided templates to ensure accuracy.

To help streamline the process of uploading your product data into our ERP system, we require that the pricelists you receive from manufacturers be formatted in a specific way. This ensures that the data is consistent and can be efficiently uploaded into the system. Below are the rules for formatting the spreadsheet correctly, as well as links to download our Example Spreadsheet Template and a Blank Spreadsheet Template.

Spreadsheet Formatting Rules

When formatting the spreadsheet, please ensure the following rules are followed. Each rule corresponds to a specific column header in the spreadsheet.

  1. Sort:

    • This column must contain numbers in sequential ascending order (e.g., 1, 2, 3, 4, 5, etc.).
  2. Manufacturer:

    • The name entered here does not need to exactly match the name in the system, but it must correspond with the Man ID which ties the data to the correct manufacturer.
  3. Man ID:

    • Guardsman is 1 and IH-Ashley is 2. Always start with 3 on the manufacturer spreadsheet.
  4. Group #:

    • This must not be just a number. It should be an abbreviation of the manufacturer followed by an underscore and a number (e.g., AICO_1, AICO_2, etc.).
    • No duplicate group numbers are allowed on a spreadsheet.
    • Allowed characters: Letters, underscores, and numbers.
  5. Group Name:

    • This can contain letters, numbers, spaces, dashes (-), underscores (_), or periods (.).
  6. Group Image:

    • Each group can only have one group image, and it must be on the same row as the Group Name and Group #.
  7. Group Extended:

    • Do not include special characters such as " ' *.
  8. Category:

    • This must be a number and correspond to a valid category in the system or the category spreadsheet.
    • Only one digit per column in this section. Every group must have a single category associated with it.
  9. Item Description:

    • Do not include special characters like " ' * in the description.
  10. Item #:

    • This must consist of letters, numbers, dashes (-), underscores (_), and periods (.).
  11. Barcode:

    • Barcodes should only contain numbers and letters.
  12. Item Extended Description:

    • Do not include special characters such as " ' * in the extended description.
  13. Cost:

    • The cost can be left blank if unknown. You do not need to enter "$0".
  14. Item Category:

    • This must be a number and should be consistent with the Category column.
  15. Dimensions:

    • Enter numbers or decimals only, without fractions. Remove any spaces and ensure the values are formatted correctly (e.g., 20.5, 15.75).
  16. Weight and Cubes:

    • Enter numbers or decimals only, without fractions. Remove any spaces and ensure the values are formatted correctly.
  17. Price:

    • The price can be left blank if unknown.
  18. Dropship:

    • The only acceptable values are the letter "Y" or leave the field blank.
  19. Item Image Link:

    • You can include multiple image links, separated by commas (e.g., "link1,link2,link3").
