An important workflow factor in EZ Process Pro is the ability to scan barcodes in order to track and move inventory throughout your store. In some cases, you may run into issues scanning barcodes. Below is a step-by-step guide to troubleshooting the barcode scanners you have.
Step 1 - Check Manufacturer Barcode Settings
Whenever you go to Getting Started > Add/Edit Manufacturers > Edit Manufacturer and then select a manufacturer, there is an option at the bottom of the screen to choose whether you will use the Manufacturer's barcode rather than EZ Process Pro generated. Make sure this setting is configured to whichever barcode you are trying to scan.
Step 2 - Check the Item to Make Sure there is a Barcode Number
The second step is to go to Getting Started > Add/Edit Group > Edit/Delete Group. You will select the appropriate manufacturer and then type in the item # or search by group description. You will select Edit Group next to the group you wish to edit. You will then want to check the "Manf Barcode" column to confirm a barcode number has been entered. If you do not see the "Manf Barcode" column that means in step 1 you have decided to use EZ Process Pro's barcode numbers rather than the manufacturers. If you do see the "Manf Barcode" column but the field is blank then you will need to add the correct barcode number and click Modify to save your changes for that item.
Step 3 - Compare the Barcode Number from Step 2 to the Barcode that is on the Box you are Trying to Scan
Now that you know the exact barcode number that is entered in the system you will want to compare it to the barcode number that is on the box that you are trying to scan. Do the numbers not match? If not then you will need to edit the item and enter in the correct barcode number. Again, you can edit the barcode number by going to Getting Started > Add/Edit Group > Edit/Delete Group and then select the appropriate manufacturer and then search by either item # or group description. You will then click Edit Group next to the group you wish to edit. Change the value set in the "Manf Barcode" column and then click Modify on that same line to save your changes for that item.
Step 4 - Test Making a Sale
If the barcode number set in the system for the item matches the box you are trying to scan then you are going to want to perform a test in the system by making a sale. Go to Getting Started > Make New Sale > Quick Sale > Barcode Version. You are now going to type in the numbers of the barcode number you found in Step 2. If the system is working correctly the item you just entered the barcode number for will populate on the next page. You will now want to proceed to the next step which is testing the scanner.
If the item does not populate on the next screen then there might be an issue, you will want to contact our support team. You can reach out support team by phone at (713) 568-1331 option 2 or by email at support@ezprocesspro.com.
Step 5 - Test Scanner Hardware
The fifth step is to test to see whether the barcode scanner itself is working properly on its own. A properly working scanner is simply reading the numbers/letters in a barcode and entering those numbers into whatever text field is available.
1. Open a text editor.
A text editor can be Notepad, Microsoft Word, or any other program that allows you to type letters and numbers
2. Scan a barcode that you have in front of you.
3. Confirm that scanning the barcode automatically enters a string of letters and numbers into the text editor that you have open.
4. Compare the barcode that you just scanned to the letters and numbers in the text editor.
At the bottom of the barcode, there is a string of numbers and letters that reflect what the black and white lines symbolize. The text that you scanned should match, like the images below.
If the barcodes do not match, the scanner has an issue. The scanner will not work with EZ Process Pro until it can translate the barcode into text correctly. You should now reach out to the manufacturer of your barcode scanner to troubleshoot the actual hardware or replace your barcode scanner with a working model.
